Executive Assistant

Job Description:

Responsibilities:

  • Calendar and meeting management for MD. Set up meetings with relevant stakeholders.
  • Document management including canning/photocopying/email circulation and managing document, keep track of listing and manage approval signature.
  • Maintain a good filing system, archiving and maintaining documentation libraries.
  • Maintain sensitive and confidential written and verbal information.
  • Work with Travel agency in arranging business travel for relevant stakeholders. Coordinating travel arrangements which include booking of air-ticket, travel visa, hotel and transport for Managing Director and any officer's overseas business trip.
  • Coordinating reports gathering and preparing the required reports by liaising with relevant departments.
  • Attending and recording minutes of management meetings where necessary.
  • Assist C&C Director to collate internal audit report from departments.
  • Assisting with preparation of PowerPoint presentations for internal workshops.
  • Any other tasks as assigned by the Managing Director & C&C Director from time to time.

Requirements:

 

  • A University Degree or Diploma with 4-6 years of work experience in a Personal Assistant or Senior Administrative Assistant role.
  • Experience in supporting a contracts and compliance team or legal team.
  • Advanced Microsoft Word (track changes, complex paragraph and line spacing, table of contents, restricted editing, cross-references, clause numbering, indented sub-clauses, section beaks, text alignment etc.), and proficient in Microsoft Excel and PowerPoint.
  • Proficient writing skills including English grammar, sentence structure, narrative construction.
  • Possess a confident and professional personal presentation.
  • Ability to meet deadlines and work in a fast-paced environment.
  • Possess superior organization skills in the areas of scheduling, liaison, and document management.
  • Experience in compiling/ preparing detailed reports including financial and operational information.
